Add a new starter

Create an employee record, invite them and start their onboarding checklist.

Updated 2026-10-28

Create the record

  1. Go to People and click Add person.
  2. Enter their name, work email, job title, team, location and manager.
  3. Add their start date, employment type (full-time, part-time, casual, contractor, labour hire or non-employee) and work pattern.
  4. If they'll manage people, tick This person will manage people and pick their direct reports. Each name shows who they report to now.
  5. Click Save.

Moving people who already have a manager

If anyone you picked already reports to someone, you'll see a Change manager? confirmation listing each person and who they're moving from. Confirm to move them to the new starter, or Go back to change your picks. Their old manager stops seeing them as a direct report straight away.

Send the invite

Tick Send invite when saving, or click Invite on their record later. They’ll get an email to set up their account and finish the welcome steps.

Start onboarding

Choose an onboarding checklist when you save, or start one from Onboarding. See Onboarding and offboarding.

Pay and leave

PeopleTeam doesn't store pay. The agreed salary and super are recorded on their offer, and once they start, pay is held in Xero. People with access see it live on their Pay tab, which fetches it from Xero each time it's opened. If they're joining from another entity or have leave carried over, add an opening balance under Time off.

Upload their documents

On the Documents tab, choose a type when you upload:

  • Employment agreement and Job description: required for employees. Add the last reviewed date so you can see when each was last checked.
  • Engagement contract: for contractors. Optional.
  • Other: anything else.

Anyone without a current employment agreement or job description is flagged under Missing details. See Find and fix missing details.

Contractors

Set the employment type to Contractor. They won't be asked for a tax file number or super. Their bank details are completed in Xero, the same as for employees, and your accountant can see whether they are done in Payroll.
