Add a document
Go to Company → Library and click Add document. Give it a title, then write the content, attach a file, or both. You can also set a category, owner and next review date.
Turn on Everyone in the audience must read and acknowledge this to ask people to confirm they’ve read it. The request shows up in their tasks on Home.
A document stays a draft until you turn on Published and visible to the audience. Drafts are only visible to HR and admins.
Choose who can see it
Under Who can see this, pick one of these:
- Everyone in the organisation.
- Only some people. Add roles, departments, teams or named people as Include rules.
You can also add Exclude rules. An exclude rule always wins, so a person who matches it can't see the document even if an include rule matches them too.
Only the audience can open, download or acknowledge the document. This is enforced in the database, not just hidden in the screen. New starters only see welcome documents that are in their audience.
Update a document
Edit it as normal. When you change the content or the file, PeopleTeam saves a new version. Add a Change note to say what changed. The note appears in the version history.
Older versions are kept and can't be changed. If the document needs acknowledging, the people in its audience are asked to acknowledge the new version.
Archive or delete
Use Archive to take a document out of the Library while keeping its history. Click Restore to bring it back as a draft, then publish it again when it’s ready. You need to restore an archived document before you can edit it.
A document can be deleted only if nobody has acknowledged it. If someone has, archive it instead. This keeps a record of who read which version.
