PeopleTeam checks each record for the details your organisation relies on and flags anything that's missing. Managers see their own reporting line. HR and admins see everyone.
What gets checked
- No manager: everyone except the top of the organisation should report to someone.
- Personal details and emergency contact: anything skipped during the welcome steps.
- Pay details: organisations without a live Xero connection don't get a pay-details item, because PeopleTeam holds no pay data. For organisations connected to Xero, this follows Xero. It shows as missing until Xero holds the person's bank, tax and super details. New starters enter them in the welcome flow and they go straight to Xero. For anyone already in Xero with details missing, the admin or payroll team fixes it in Xero; PeopleTeam only shows the gap.
- Employment agreement and job description: employees need a current copy of each in Documents.
- Contractors aren't asked for tax file number or super. PeopleTeam keeps their ABN and business address (a missing one is flagged), and their bank details go to Xero like everyone else's. An engagement contract is optional.
Review reminders (optional)
HR can also flag documents that are getting old. Go to Organisation → Settings and choose how often employment agreements and job descriptions should be reviewed (every 6 months, 12 months, 2 years or 3 years). Once a document's last reviewed date is older than that, it shows up as a missing detail until someone reviews it and updates the date. This is off by default.
Where you'll see it
- Home: the Missing details tile shows how many people need follow-up, with the biggest gaps listed underneath. Click it to open the filtered People list.
- People: tick Missing details to show only the people who need something. Each card shows how many items are missing. Hover over the badge to see what they are.
- Org chart: people with gaps get an amber marker.
- A person's profile: a details still needed panel lists each gap with a link to the right tab, and that tab shows a dot.
Mark something as not needed
Some gaps are expected. For example, your CEO has no manager. Click Not needed next to the item on the person's profile and it stops being flagged for that person. The change is recorded in the audit log.
If you skipped a welcome step
Employees can choose Skip for now on the details and emergency contact steps. The Pay details step can't be skipped when the organisation uses Xero, because the details are sent to Xero there. Anything skipped appears in Finish your details on their Home page until they complete it. Their manager and HR can see it's outstanding.
