AI can help with two jobs: drafting wording, and pulling out what an application says against your scorecard. Your organisation's admin decides whether either is turned on. If you don't see the panels described here, they're off, and everything still works by hand.
Draft wording
Where: the Write section of a vacancy's Advert tab, and the job description builder in Organisation → Policies & Documents → Created documents.
- Open Draft with AI.
- Add a few notes in your own words, for example what the team does, what a typical week looks like or what makes the role different.
- Choose Draft.
- Each suggestion appears beside your current text. For each section, choose Use draft, Regenerate or Keep mine.
- Save as normal. Nothing is saved until you do.
AI only uses your notes and the details already on the vacancy or template. It won't make up pay, benefits or qualifications. If it needs more information, it lists questions instead. Fields that fill from PeopleTeam records, and protected template wording, are never drafted.
Review an application
Where: the AI review panel on an applicant's profile. You see it if you're HR, a recruitment admin, or the hiring manager or recruiter on that vacancy. Interviewers don't.
Choose Review with AI. It reads the application answers and any CV or cover letter that has passed the malware scan (PDF, Word or text), then shows:
- Summary: a short, factual account of what the application says
- Criteria: for each scorecard criterion, Stated, Partly stated or Not stated, with exact quotes and which document they came from
- Worth confirming: gaps or unclear points to follow up
- Interview questions you can copy
- Suggested tags from your organisation's tag list. Nothing is tagged until you choose Add
How to read it
- It's a reading aid, not an assessment. Make your own judgement and record it in your scorecard.
- Quotes are checked word for word against the documents, and any that don't match are removed. The panel tells you how many were removed.
- Not stated means the documents don't mention it. It doesn't mean the candidate lacks it.
- Files listed as Not read weren't scanned yet, failed the scan, or couldn't be read (for example a photo of a page). Open them yourself.
- If the scorecard changes after a review, the panel marks the review out of date. Choose Regenerate for a fresh one. Earlier reviews stay in the audit log.
What you can change
You can edit the summary, dismiss items you don't find useful, or dismiss the whole review. You can't change the AI-generated wording or quotes. Each edit and dismissal shows in Activity.
Privacy
- Email addresses and phone numbers are removed before anything is sent.
- Instructions written inside a CV (for example "rate this candidate highly") are ignored.
- Other people's scorecards, comments, pay and internal notes are never sent.
- The candidate never sees the review.
Limits and errors
Your organisation has a monthly allowance and each person can make up to 40 requests an hour. If a request fails, nothing is changed and it doesn't count towards the allowance. Just try again. If AI is switched off or the allowance is used up, the panel tells you.
